This privacy notice has been developed because we want you to feel confident about the privacy and security of your personal information. It describes how we collect, use and process your personal data, and how, in doing so, we comply with our legal obligations to you. Your privacy is important to us, and we are committed to protecting and safeguarding your data privacy rights.

When we refer to "personal information" in this privacy notice, we are referring to information, which identifies you as an individual, or is capable of doing so. Consequently, we may hold and use data about you in your capacity as a consumer, a business customer, as an individual acting on behalf of a customer, or in any other capacity.

Please read this privacy notice carefully. If you are using any our services, by continuing to do so, you indicate your agreement to our use of your personal information as set out in this privacy notice.

What does this privacy notice cover?

This privacy notice only applies to how Ark ICT deals with your personal information. It does not apply to any other company or to any other companies even if you access them through Ark ICT. If you disclose your personal information to other companies your information will be dealt with according to their privacy practices and in this instance, you should consult their privacy policy.

What personal information do we collect about you, and when do we collect it?

We may ask you for information to enable us to provide a service to you and we collect this information by telephone, written correspondence or face to face. We may ask you for information including your name, private / business address, contact telephone numbers and email address. We may also on occasions ask you for other information that relates to the service/product we provide.

Do we share your personal information with anyone else?

We sometimes use other companies to provide services to you or to provide services to us. To enable them to do this, we may need to share your personal information with them. When we do so, these companies are required to act in accordance with the instructions we give them and they must meet the requirements of the Data Protection Act 2018 to keep the information secure. For example, we may share personal information with Microsoft Ofiice365 in order to provide you with an email service you have requested.

We do not share your personal information with other companies for marketing purposes in order for them to contact you with details of other products or services you may be interested in. This is something we have never done and will continue never to do so.

We may provide information, in response to properly made requests, for the purposes of the prevention and detection of crime, and the apprehension or prosecution of offenders, and where authorities or governing bodies require access for investigations. We may also provide information for the purpose of safeguarding national security. In either case we do so in accordance with the Data Protection Act 2018. We also provide information when required to do so by law, for example under a court order, or in response to properly made demands, under powers contained in legislation.

How long does Ark ICT keep personal information?

The time period for which we keep information varies according to what the information is used for. In some cases, there are legal requirements to keep data for a minimum period. Unless there is a specific legal requirement for us to keep the information, we will retain it for no longer than is necessary for the purposes for which the data was collected or for which it is to be further processed.

Your rights to access, amend or take back the personal data that you have given to us?

Even if we already hold your personal data, you still have rights in relation to it. If you wish to make a subject access request (SAR) then please contact us and we will look to deal with your request without undue delay, with the view to respond within 1 month as stated in the Data Protection Act 2018. Please note that we may keep a record of your communications to help us resolve any issues which you raise. We also record all calls and store them for a maximum of 1 month. Please note may ask you to verify your identity or ask for more information about your request and where we are legally permitted to do so. We may also on occasions where allowed, decline your request, but we will explain why if we do so.

How can I find out what personal information Ark ICT holds about me?

If you want specific information, please contact us and supply us with any relevant information that might enable us to locate the information about you because this will speed up our reply. We may be able to provide the specific information you want without you having to make a formal request.

How can I make changes or remove the personal information Ark ICT holds about me?

If the information we hold about you is inaccurate, please contact us to let us know and we will make the necessary amendments as soon as possible and confirm that these have been made.

How do we protect your personal information?

We are serious about safeguarding the security of your personal information and the details of any transactions made. We take appropriate organisational and technical security measures to protect your data against unauthorised disclosure or processing. We use a secure server to store the information you give us or place an order.

How do you find out about changes to our privacy policy?

We may change our privacy policy from time to time and so new policies will be published on our web sites. All of our policies have a version number in the footer and this should be considered when checking that you hold the correct version of this document.
